Software for Contractors & Trades — What Your Business Actually Needs
Practical software guide for general contractors, HVAC, plumbing, electrical, and other trade businesses. What field service software covers, and what to skip.
What contractors and trade businesses need from software
A contracting or trade business runs on jobs — quoted, scheduled, executed, invoiced, and paid. The core software problem is managing that lifecycle without jobs slipping through administrative cracks:
- Sending professional quotes that clients can approve
- Scheduling jobs and dispatching field staff
- Tracking job status and completion
- Generating invoices automatically when work is done
- Collecting payment reliably — and quickly
This is a field service management problem. Most contractors who outgrow spreadsheets and paper should evaluate field service management software before considering any other category.
Field service management: the central decision
For an established contracting business, the primary software decision is which field service management platform to use. The two strongest options for trade businesses:
Jobber — Clean quoting, scheduling, dispatch, invoicing, and payment in a single platform. Well-regarded by cleaning, HVAC, landscaping, electrical, and plumbing businesses. Reliable choice if operational simplicity is the priority.
Housecall Pro — Covers the same operational core as Jobber, and adds built-in marketing tools: automated review requests, postcard marketing, email campaigns. Better for businesses that actively prioritize review generation and repeat-client marketing.
Both platforms are worth evaluating. See the full comparison: Jobber vs Housecall Pro.
For new or solo contractors starting out
When you are running small — fewer than 10 active jobs per month — the monthly subscription cost of field service software may not be justified. A lean starting setup:
- Google Calendar for scheduling
- Square for invoices and payment (no monthly fee)
- A shared folder or simple spreadsheet for tracking job status
Move to Jobber or Housecall Pro when jobs, clients, or staff reach a level where manual tracking becomes a genuine problem.
What contractors can skip
- General CRM software — Salesforce, HubSpot, and similar tools are built for sales pipelines, not job management. Field service software handles client management within the job context.
- Complex project management software — Asana, ClickUp, and similar tools are designed for knowledge work. They do not handle quoting, dispatch, or field payment.
- Marketing automation — Not a priority until core operations are running cleanly and you have a consistent client base.
